How to use this page.

There is a lot of paperwork that goes into getting your group to camp. There are group-specific forms (things like Health Forms) that are unique to your campers and leaders, and there are common assets and information that are not specific to any one group (like the Covid pre-screening packet). From this page, you are able to access all of the required paperwork for your group.


Group-Specific Forms

Find your group’s name and open the page using the password you received via email. You will find your group’s Complete Paperwork Form as well as a link to view your group’s responses. Everyone coming to camp with your group must complete the Complete Paperwork Form.

✉️ Payment and Communication Schedule

October 21, 2024: Final Cancellation Deadline. All spots canceled after this date must still be paid for in full. This applies to all camps.

Final Balance Due for Camps 1-2: October 28, 2024 All spots must be paid for in full by this date. If the balance is not paid in full by the deadline, a late penalty of 5% of the remaining balance will be added.

Final Balance Due for Camps 3-5: November 11, 2024 All spots must be paid for in full by this date. If the balance is not paid in full by the deadline, a late penalty of 5% of the remaining balance will be added.

Canceling Spots

Spots must be canceled using the online cancellation form only and no later than 11:59 P.M. EST on October 21, 2024. Your church/group will be responsible for the full payment of all registered spots not canceled by 11:59 P.M. EST on October 21, 2024.

📄 Required Clearances for Leaders

All leaders 18 years and older will need a Pennsylvania Child Abuse Clearance and Criminal Record Check Clearance. These are valid for 60 months (5 years). As the Trip Leader, you are responsible for collecting your leaders’ clearances. When you’ve collected them, please submit them via the PKF Camps Leader Clearance Collector. You cannot attend camp/lead students without clearances! Some take more time than others, so please do not put this off and run the risk of you or a leader not being able to attend camp.

Student Leaders

We welcome student leaders at camp (typically a high school student helping lead a middle school group), but legally, if a student leader is under 18 years of age, they are not an adult leader and do not count toward the 1:10 ratio. Student leaders under the age of 18 should fill out the CPF as a camper and should not be counted in your total of Adult Leaders.

Legally, student leaders who are volunteering and under the age of 18 do not need clearances (although it’s never a bad idea to have them.)

🛏️ Rooming Ratios

Rooming Ratios are due 14 days before Day One of the camp my group is attending. A $100 late fee will be applied to your account if you submit my Rooming Ratios after this due date. Submit your Rooming Ratios.

🚌 Information on Arrival and Departure

Plan to arrive at Laurelville Retreat Center, 941 Laurelville Lane, Mt Pleasant, PA 15666, on Friday at 7:00 pm. Plan to depart on Sunday at 12:00 pm. Upon arrival, the trip leader will check in with us at the Welcome Center. View and download the Laurelville Grounds Map.

🥨 Information on Camp Store and Snack Bar

The Camp Merch Store and Snack Bar both accept cash and cards. You can shop the online camp store to place orders for merchandise and pick it up at camp.

🏈 Mud Football Tournament

We’ll review the rules at camp, but before signing up, you should know that this is 7v7 flag football. We use a site called Challonge to manage the tournament. You can register your team by visiting pkfcamps.org/football or during breakfast on Saturday.

🎭 Saturday Costume Party Theme

Yinz guys ready to party? I sure hope so cause the costume party is staying local this year. Our theme is 412! (724 is cool too, don’t worry.)

It’s up to you and your students how big you want to go with it. Will you don a Pen’s hoodie or walk in dressed like that Ferris wheel that showed up on the Clemente Bridge? The choice is yours, and everyone is welcome in the 412! Just remember, this is camp, and we love it when you go BIG. I hope we play Renegade.

🍕 Saturday Night Pizza

You can place a late-night pizza snack on Saturday night after cabin time. We need to place the order on Friday morning to accommodate the volume of orders. To secure your ‘za, place your order here on the Thursday before you come to camp. Pizzas come from Alexander’s in Mt. Pleasant (it’s very good!). 12 cuts, $13, choice of pepperoni or cheese. GF options are available at $13 for 8 cuts.

Payment is now online via credit card or ACH right from the order form!

💻 UPDATE to Pizza Ordering and CPF Data Management

Pizza: Order now, pay now via credit card of ACH. No more trying to track Rodger down on Saturday morning to pay for your pizza!

CPF Data Management: We’ve turned on editing permissions on the CPF response sheet for every trip leader. This changes a few things.

  1. You can now come in and correct data that parents or adult leaders may have filled out incorrectly.

  2. You can now create and save filter views to make organizing CPF responses from different weekends easier.
